2007 Awards Banquet and annual meeting

Board Meeting Agenda:

Elections: We will need to elect / re-elect all officers. Anybody interested in running for office should attend the Board meeting to declare their intention. If we have two or more people interested in a position we will need to hold a vote during the banquet, if the positions are uncontested we can vote during the business meeting.

Social Hour: Cash Bar, Unlimited Free Soft Drinks, and Lively Conversation.

Dinner: We have selected a menu that includes: Sliced Roast Beef, garlic mashed potatoes, mushroom demiglace and Roast Lemon-Thyme Chicken, roast russet potatoes, salad and bread.

Awards: District 23 State Champion Jackets for the top finisher in each class.

Door prizes: We will have many door prizes generously provided by Midwest Trials and The Bike Shed. Prizes include oil, chain lube, tires, grips, apparel.

More on the board officer job descriptions:

Officers: The officers of the club in accordance with the AMA charter shall be President, Secretary, Chief Legislative Officer, Referee, Insurance Communications Officer and six Members-at-Large. Additional club officers not required by the AMA are Vice President, Treasurer and Web Master. These Officers shall constitute the Board of Directors and shall be elected at the annual meeting and shall take office January 1st following the election.

Board of Directors: The duties of the board of directors shall be to act for the club in all matters ordered by the club; to make final decisions upon member exclusions; to properly investigate and present to the club all business or important activity situations; to have general control over all club affairs.

Term: All elective offices shall be filled at an annual election to be held during the annual meeting and all officers shall hold office for one year or until their successors are elected and qualified.

Duties of the officers:

President:

The duties of the President shall be to preside at all meetings of the club; to have general supervision of the affairs of the club; to appoint any person or committee not otherwise ordered by the club; to personally represent the club on proper occasions and business contacts; to assist all other officers of the club in their records, correspondence and other duties; to promote interest on the part of each member in club life and activities.

Vice President:

The duties of the Vice President shall be to perform all the duties of the President in his absence.

Treasurer:

Duties of the Treasurer shall be to collect dues from all members; to collect all other money due the club; to maintain club financial records and deliver reports on timely basis.

Secretary:

The duties of the Secretary shall be to keep a record of the club meetings; to handle all club correspondence; to perform such other duties as generally fall to that office.

Insurance Communications Officer:

The Duties of the Insurance Communications Officer (ICO) shall be to make sure the event is properly sanctioned with liability insurance coverage intact; to review the registration procedures and see that an adequate supply of all sign-up materials and release forms are available; to research and consolidate information on all participant or spectator mishaps or occurrences; to complete and mail the ICO injury report form within 24 hours after the event; to call the AMA immediately following the meet to report any serious accident.

Referee:

The duties of the Referee shall be to have general supervision over all sanctioned competition events promoted by the club. The responsibilities of the Referee are completely outlined in the AMA rule books.

Chief Legislative Officer:

The duties of the Chief Legislative Officer shall be to monitor local and state activities affecting motorcycling; to communicate to the District Legislative Officer or AMA Congress Delegate any of the activities identified; to work with the district AMA Congress Delegates and AMA Government Relations Department to promote programs and legislation that will benefit motorcyclists.

Web Master:

The duties of the web master shall be to create & maintain the club web site and e-mail capabilities including decisions regarding software and vendors for hosting of the site.

Member-at-Large:

Six members-at-large are required by the AMA charter. Their duties shall be to add depth to knowledge and influence of the board. To voice the issues of the membership to the board and to aid in enacting the initiatives of the board.
